Administration Officer

Exciting opportunity awaits enthusiastic Administration Officer responsible for delivering administrative support services to the Asia Society Australia team.
For 60 years globally and 20 years in Australia, Asia Society Australia has been the leading institution for promoting engagement with Asia. As a global not-for-profit organisation, our membership and support base comprise of the leading ASX 100 companies, government and educational institutions. Due to strong demand and impressive growth we have recently expanded our operation to Melbourne.
Reporting directly to the Associate Director of Operations, we are seeking a proactive Administration Officer with proven experience in office administration and a passion for helping others.
In this new role, you will:
- Be the first point of contact for a range of staff and external stakeholders, including greeting and directing visitors
- Manage and own the administrative requirements of the membership renewal process
- Maintain and update company database records
- Perform basic bookkeeping duties
- Assist with events, and provide administrative support services to the Events team
- Organise special team functions and social events
- General office tasks including reception, mail, filing, generating reports and presentations, setting up meetings, and reordering supplies
- Maintain polite and professional communication via phone, e-mail, and mail
- Anticipate the needs of others in order to ensure their seamless and positive experience
The Ideal Candidate:
- Minimum 1 year of related work experience in administration management in a corporate, academic or not-for-profit setting.
- Diploma or higher in Business Administration. Bookkeeping certificate will be highly regarded.
- Exceptional organizational skills
- Impeccable time management skills with the ability to juggle multiple projects and prioritise tasks efficiently
- Excellent attention to detail and accuracy
- Strong communication skills, both written and verbal
- Ability to travel interstate when required
- Proficiency in Microsoft Office Suite
- Interest and/or experience in Asia desirable
