CONTEXT AND PURPOSE:
Asia Society Philippines is looking to launch new program initiatives as part of its ongoing efforts to position itself as the ASEAN-focused center with a development-oriented trajectory, and we are searching for a Program Manager to help shepherd exciting activities and potential collaborations that we are anticipating in 2024.
The Program Manager will oversee all aspects of development, coordination, and implementation of public and private programs on a broad range of topics including policy, business, education, arts and culture—in the context of strengthening Asian and US-Asia relations. In coordination with the Executive Director, s/he will also help identify and cultivate prospective donors such as individual, foundation, and corporate donors.

REPORTS TO: Executive Director
RESPONSIBILITIES:
- Develops program strategies that fulfill the objectives of ASPF;
- Oversees and monitors the day-to-day programming tasks to ensure smooth and timely execution of projects and activities (including conferences, special events, and other public programs in the fields of arts & culture, business & policy, education, and leadership);
- Represents Asia Society at public events and private briefings;
- Establishes networks and maintains good relationships with key stakeholders and potential partners;
- Directs marketing and communication activities to strengthen the Center's presence and branding;
- Serves as liaison in programming concerns between the Philippine Center and all other centers of Asia Society;
- Assists the Executive Director in overseeing operations in the Philippine Center, by providing managerial and administrative support in relation to project planning, design, and implementation;
- Supports the Executive Director in fundraising activities;
- Monitor programming budget to ensure fiscal health of programs;
- Participates in project monitoring and evaluation and review of ongoing and future projects, as needed;
- Conceptualize membership activities and monitor in coordination with the Program Officer;
- Coordinates with Marketing & Communications agencies or with colleagues assigned to fulfill this function;
- Mentor and guide the project officer, ensuring growth and transfer of knowledge and skills for the Project Officer to perform well;
- Monitor performance of program officer and project consultants;
- Performs other relevant tasks as directed by the Executive Director or as instructed by the ASPF leadership
REQUIREMENTS:
- Bachelor’s Degree in related field;
- Preferably with corporate or development sector experience, with at least 5-6 years in project management, business development, and strategy;
- Exceptional interpersonal skills and the ability to work successfully with diverse constituencies, including corporations, government, embassies, NGOs, academic institutions, and media;
- Highly organized with strong attention to detail, and able to effectively and efficiently manage multiple tasks;
- Creative and entrepreneurial spirit with a high degree of confidence and ability to exercise independent judgment and problem-solving;
- Interest and competence in or demonstrable capability to learn about Asian and international affairs;
- Outstanding verbal, written (including proofreading and editing), and overall communication skills;
- Proficiency with Microsoft Office Suite with basic background of Adobe suite, Canva, and/or other graphic design/illustration/visualization applications/software (ideal)

The Program Officer has a key role in coordinating and working with the program manager in all aspects of development, coordination, implementation, marketing, and communications of assigned projects and programs to fulfill the strategic directions of the center.
DEPARTMENT: Programming
REPORTS TO: Executive Director
RESPONSIBILITIES:
- Lead the programming, coordination, and project implementation activities such as:
- Research activities and initial drafting of program concept notes and proposals in coordination with the program manager to fulfill the objectives of ASPF related to programming and fundraising;
- Implementation of day-to-day programming tasks (Conception and Program Ideation, Coordination and Logistics, Preparation of Program-related Materials, and Post-Program Activities) to ensure smooth and timely execution of assigned projects and activities, including conferences, special events, and other public programs among others;
- Mapping partnership network and maintaining the relevant databases to the center for marketing, communications, membership, and partnership purposes;
- Coordination, administrative work, and logistics of other special projects and activities for membership and the center’s products or merchandise;
- Coordination and maintaining good relationship with project consultants, suppliers, and project partners; and
- Other relevant tasks as directed by the Program Manager, Executive Director, or as instructed by the ASPF leadership.
- Provide support and assistance to the Program Manager and Executive Director in:
- Overseeing operations in the Philippine Center by providing programming and administrative support in relation to project planning, design and implementation;
- Project monitoring and evaluation and review of ongoing and future projects, as needed;
- Attending public events, meetings, and partnership activities for Asia Society as assigned by the program manager; and
- Influencing and supports marketing and communication activities to strengthen the Center's presence and branding through the ideation and/or creation of graphics, writeups, and other knowledge products all in line with the ASP brand, and the handling of the Asia Society Philippines website and social media accounts (Facebook, Instagram, YouTube, Twitter, and TikTok).
- Develops and maintains a database of Marketing & Communications agencies or with colleagues assigned to fulfill this function;
- Initiate conversations regarding:
- Prospective donors such as individuals, foundations and corporate donors, flagging opportunities for partnership to the program manager and Executive Director;
- Potential project consultants;
- Possible projects, programs, membership, and influencing activities aligned with the priorities of the Center; and
- Staff development and organization building activities.
REQUIREMENTS:

Administrative and Finance Officer
Location: Manila, Philippines
PURPOSE: The Administrative and Finance Officer will establish and maintain efficient administrative systems and control mechanisms to support the smooth running of the operations and ensure compliance with administrative, human resources and financial rules and procedures.

REPORTS TO: Executive Director
RESPONSIBILITIES:
FINANCE
- Use an Accounting System called NetSuite.
- Discuss and review the accounts (both general and subsidiary ledgers) that will be used on the transactions of Asia Society Philippine Foundation, Inc.
- Discuss and seek approval if there will be any suggestion and changes to the existing accounts used.
- Prepare and set-up the chart of accounts in NetSuite.
A. Monthly financial record keeping and preparation of tax returns
- Obtain invoices and official receipts.
- Preparation of payroll.
- Preparation of Check Vouchers and checks for disbursements.
- Records disbursement transactions – on the basis of the supporting documents such as billing statements, invoices, official receipts and statement of accounts and other supporting documents.
- Records receipts from donations and member fees – on the basis of the official receipts issued and other supporting documents.
- Prepare monthly balance sheet, income statement and cash flows.
- Prepare monthly bank reconciliation.
- Prepare the monthly and annual returns for expanded and final withholding tax.
- Prepare the income tax returns.
- Maintain the Bureau of Internal Revenue (BIR) registered book of accounts of the Company.
- Prepare the monthly government remittances (SSS, PHIC and Pag-IBIG).In-charge of the Health Maintenance Organization (HMO).
- Initiate program budget review and planning.
- Leading the yearly audit process with the external auditors.
- Responsibility for the Financial Statements.
ADMINISTRATIVE
- Maintain and develop information, operations and other administrative systems – including financial and human resources administration as required – and ensure effective access to up-to-date information for the Executive Director.
- Serve as an administrative liaison to government agencies and other mandated organizations.
- Ensure compliance and adherence to established policies and procedures.
- Other duties as assigned.
REQUIREMENTS:
- Must be a Graduate of Finance, Accounting or any equivalent to business course;
- At least 2-3 years’ experience in General Accounting or External Audit in supervisory level.
- Highly organized and able to manage multiple tasks and deadlines efficiently;
- Highly skilled and proficient at verifying financial or transactional data;
- Knowledge of accounting processes and tools;
- Solid understanding of accounting principles, financial reporting, and tax regulations;
- Strong analytical and problem-solving skills, attention to detail, and ability to work independently;
- Excellent verbal and written communication skills;
- Proficiency in using accounting software (NetSuite) and spreadsheet applications, such as Microsoft Excel, is required.

RECRUITMENT PROCESS:
1. Publication of Job vacancy: After the job description is published to the Asia Society Philippines website and shared on the company’s social channels, interested applicants must submit the complete application requirements within a two-week time frame.
2. Screening and shortlisting of candidates: Applications received after the posting will be thoroughly reviewed and assessed by the hiring personnel, with the comprehensive evaluation focusing on the candidates' alignment with the Foundation's objectives, considering education, work experience, technical skills, and other relevant criteria.
3. Interview Process:
a. Candidate Selection and Initial Interviews:
- Following a comprehensive review of applications, selected candidates will receive a notification via e-mail for the schedule of their initial interviews within three days after the submission of their application. Initial interviews will be conducted through online platforms.
- After the initial interview, shortlisted candidates will be contacted for subsequent interviews.
b. Final Interview with the Executive Director:
- After the initial interview, candidates who advance will undergo a conclusive evaluation in an interview with the Executive Director, whether conducted in person or through an online platform. This final stage is scheduled 2 to 3 days after the shortlisting from the initial interview, ensuring a comprehensive and conclusive assessment before final decisions are made.
4. Job offer:
- The culmination of the interview process leads to team deliberations and the issuance of a well-considered job offer to the selected candidate.
- Upon acceptance of the job offer, the finalized contract will be prepared and sent to the new consultant via email for their review and signature.
